Minutes of 8/11/04 meeting approved.

John Clark attended to gain information on the Rec. Com. to determine where he might fit in as a future member. We will welcome him as a member at large should he decide to join.

Nancy presented a letter written to selectmen asking to officially appoint Lorraine Petzy as a member allowing her to vote as necessary. Included in the letter was an outline of members’ individual responsibilities as follows:

Donna Carter – KYAA liaison, special events

Kathy Cook – Special programs, summer camp, by-laws

Lorraine Petzy – SALT liaison, public relations, federal grant

Dan Provost – Parks, Fields, budget, park expansion rep.

Nancy Roffman – Chairperson

Mary Jane Solomon – Secretary, webpage, special programs, skiing

Lili Spinosa – Activities chair, liaison to K.E.S.

Lili presented an overview of upcoming activities to be overseen by the Rec. Many activities will be held at the K.E.S. multipurpose room throughout the fall and winter and include a variety of age groups from elementary through seniors. Schedule will be posted on the Rec. web page as well as in the Community News and The Exeter Newsletter. To make these activities happen, several volunteers will be needed to supervise as Rec. members themselves are volunteers and cannot be expected to be at all events. A letter will be sent to Community News outlining the schedule and where volunteers are needed. All volunteers will be covered under the current insurance policy. All volunteers supervising children will need to undergo a background check through the police department. All information is strictly confidential seen only by Chief of Police and will be free of charge.

Registration forms for activities will be available from the town website or at the Town Hall during business hours.

Registration deadlines will be 2 weeks prior to the beginning of each activity.

Any time school is not in session due to holidays, storms or the unforeseen, Rec. sponsored activities scheduled at the school will not be held.

Lili will contact school nurse, Carrie McDonough about obtaining a basic first aide kit to have in the multipurpose room for use during Rec. activities.

Budget is due by Sept. 30th. At this point no additional money should be budgeted for park maintenance. Additional money must be included for removal of slide and disposal of both slide and merry-go-round for safety reasons.

KYAA will be contacted to see if any active members would be willing to act as an additional liason to the Rec.

Kathy will attend the Sept. 13th selectmen’s meeting as the Rec. representative to address any current issues.

Meeting adjourned.

Next meeting October 13th .

Respectfully submitted,

Mary Jane Solomon
