Kensington Recreation Committee Minutes

Minutes to the January 28th and the February 18th, 2010 meetings were amended and approved. Kay made the motion to approve January 28th and February 18th minutes as amended. The motion was seconded and was passed.
Donna made a motion to copy (cc) Mike Motherway –Director of Sawyer Park Operations on emails which pertain to activities dealing with Sawyer Park; but not to copy (cc) him with respect to any other official recreation business. The motion was seconded and was passed.
We all agreed that the Recreation Committee meetings would be the second and fourth Thursdays of each month at 6:30pm at the Kensington Public Library.
We briefly discussed roles and by-laws and agreed that we would continue this discussion at our next meeting.
The current Kensington town website was discussed; the recreation website is very outdated. Kay made the motion to list the current Committee Members and to list the ‘Purpose’ and to delete the following sections; short term goals, long term goals, obstacles, membership, and the names of old members. The motion was seconded and was passed.
Donna made the motion that Dawn would list the following up coming events on the Kensington town website; Literacy Program with the Library-Moving the Story off the Pages, Mother/Son – Brain Waves, Eggtravaganza, and the Kensington Summer Festival. Marilyn would add the Summer Camp information and forms. The motion was seconded and was passed.
Donna discussed updating the way participants pay for recreation activities; currently they pay by check only. Donna would like to look into payment by credit cards. Donna will research this topic and report back with her findings.
Summer Camp- Marilyn Niles updated the committee with the following: Marilyn and Kay conducted interviews for the position of Assistant Director and for the position of Director. Kay will email the Community News and the Church to ask that they post summer camp information. Kay will contact KES to inquire if the school may be used/reserved for rainy camp days; she will also check on ordering camp equipment. The bunker will need to be inventoried for supplies and equipment in April/May. Beach Day was discussed; identifying campers would be easier with a brightly colored Tee shirt –all campers would have the same color. And to be environmentally friendly it was discussed having the children wear the shirts just on beach day and then launder them for the next week of campers. Beach Day will be on Wednesday or when the fields are cut/mowed. Marilyn will create employee files for job applications and employee certifications.
The summer camp fee was discussed again; $85 per camper for a regular day ($220 per family) and $130 per camper for extended day ($345 per family).
Also discussed; a sign-in sheet at the beginning of the day and a sign out sheet for all campers when they are picked up at the end of the day.
KES Yearbook- Dawn stated the KES 2010 Yearbook would be a great place to advertise the Recreation Committee events. She will work on a full page ad – listing our events, placing photos, and asking for volunteers.
KES Activities – Dawn updated the committee with the following: the KES Activities have low enrollment; due to the low enrollment Dawn is recommending that we rethink this program for next year and perhaps work more closely with the KYAA to determine what will work for the Kensington children. We currently have about 5-6 middle school students per session.
The Adult Basketball session is going well and has about 12-20 people each week.
Amesbury Sport Park- Dawn stated that the Amesbury Sport Park event on March 5 was success and a lot of fun. Thirty Kensington folks/children attended this event; so the Amesbury Sport Park will send a $300 check for this event/fundraiser.
Budget – Donna updated the committee with the following; she reviewed the posted accounts with respect to the Recreation Revolver and will update the BOS at our next joint meeting with ways to improve the recording/posted accounts. She will also look into a Memorial account ($1000) and another account ($1,900) to determine the history and procedures for these accounts.
Dawn will assist in determining the next date for our joint meeting with the BOS to discuss the procedures and policies for the Recreation Revolver.
The Community News- Dawn read the article that will be in the next issue of the Community News. She outlined our events; Mother/Son –Brain Waves, the Summer Festival-July 10th, Movie nights, and Music in the Park.
Kensington Festival – July 10th We will need to start working on this event. Dawn will invite Stephanie Johnstone to discuss the Road Race.
Eggtravaganza- Dawn stated the date for this event is March 27th at 10 am at Sawyer Park. The children will be divided into two groups: 4 & under, 5 & above. The sound system will need to be set up, and assistance is needed with the eggs. Advertising is starting; with posters, and postings at the school and town websites.
By-Laws/Procedures/Mission statement/Roles – this project will need to take priority.
New Business:
Movie Nights –the cost is $100 per movie/per show. We discussed selling refreshments and having a Donation box. We will look into having rain dates at KES.
